Scheduling

Sessions, repeats, courts and cancelling.

How do I set up a lesson or clinic?

Tap the + button on your schedule. Pick a session type, choose the date and time, set the level for a clinic, and search for your court. Length, group size and price come from the type, so a private is one player and a 90-minute clinic holds six. Edit those, or add your own types, on the Programs tab. Hold a type there to retire one you no longer run.

Can a clinic repeat every week?

Yes. Switch on Recurring when you create it, and the same day and time go on your schedule for the next eight weeks, with one more added as each week passes. Recurring sessions carry a repeat icon on the schedule.

Each week is still its own session with its own roster. Edit or delete one, and Baseline asks whether the change is for that week only or for every week after it too. Weeks that would clash with something already booked are left off, and it tells you how many.

What happens if two sessions overlap?

Baseline stops you, and tells you why: "You already have a 90-min clinic from 4:00 PM to 5:30 PM at Pharr Tennis Center." It reads the real duration of each session type, so a long clinic correctly blocks the hour after it. The save button stays disabled until you pick a free slot.

How do I find and save a court?

Type a few letters and Baseline searches real tennis venues near your city — "pha ten" finds Pharr Tennis Center — and, once you've added your city, shows how far each one is. Pick one and it saves the court with its street address.

Coach in more than one place? Add each city to your profile — tap your name at the top of Settings, up to five cities — and the search covers all of them, with every court labeled by the city it's closest to.

That address then rides along in every reminder, so nobody texts you asking where to go.

What if I need to cancel?

Open the session and tap Cancel session & text roster. Pick a reason if you like — the weather, you're sick, the court isn't available, something personal — and it finishes the text. Players who opted in to texts from Baseline hear from it at once; for anyone else, the text opens in your Messages already written. The session stays on your schedule marked Cancelled. Close Messages without sending and nothing is cancelled. If anyone has already paid by card, refund them first.

Calling off a whole day? Open it on your schedule and tap Cancel day to call off the sessions that haven't started yet. Moving a session instead? Change its date or time, and Baseline offers to tell everyone on it and ask them to confirm the new time.

Rained out after it started? Tap Didn't happen instead. It's marked Cancelled without texting anyone, and no one can be charged for it.

To delete a session that hasn't started, hold it on your schedule or tap the trash on the session. Once it has started it stays as your record, so holding it explains that instead and offers what's left: Didn't happen if no one has paid, and, for a recurring session, deleting the weeks still to come.

Whether to call off a session — for weather, court closures or anything else — is your call. Baseline doesn't check the forecast; it just makes telling everyone one tap.

Booking & texts

Your booking page, texts from Baseline and notifications.

Can students book with me online?

Yes. Turn on your Booking page under Programs or Settings and share its link. Students pick an open private time or a place in one of your clinics, and leave their name and number. If you coach juniors, parents can book for their kids.

The page shows the schedule you build in the app. You set the hours you teach privates, each with its court, which of your clinics can be joined, how much notice you need and how far ahead students can see. Anything already on your schedule is left out, days you add under Time off show crossed out, and every change you make in the app shows on the page right away.

Do I have to take every request?

No. Every request waits for you under Booking requests, and you get a notification the moment one comes in. Accept it and it becomes an ordinary session, or a place on the clinic's roster; decline it and the time opens up again. A request left unanswered for two days lapses on its own.

Accepting sends the student a "you're booked" text with a link where they can see the booking or cancel it. If they cancel, the spot frees up and they move to their own list on the requests screen.

Who gets texts from Baseline, and how do they opt in?

Only players who opt in. On your booking page there's an unticked box to get reminders and payment links by text; a student who ticks it gets a code on their phone, and has opted in once they type it in. You can't opt anyone in yourself, and Baseline never texts a number to ask.

Players who opted in hear from Baseline's own number, signed with your name: the day-before reminder, notices if a session is moved or cancelled, "you're booked," and payment links. Everyone else you text from your own Messages, with the text already written. A player who replies STOP isn't texted from Baseline again, unless they reply START. See how Baseline texts your players.

What if a player doesn't opt in to texts?

Everything still works. You send their texts yourself, from your own Messages, and Baseline writes each one for you. Nothing goes to them from Baseline's number.

Reminders. The day before, Baseline reminds you about each player still pending — "Sam hasn't confirmed" — and the tap opens the session. Tap Ask if they're in on their row, or Send reminder when several are pending, and your Messages opens with the reminder already written.

Payments. After the lesson, their row shows Send payment link. Tap it and the text opens in your Messages with their own payment link, ready to send. If they pay by card, their row turns Paid on its own.

Moving or cancelling a session works the same way: the text opens in your Messages, already written.

Players opt in themselves, by ticking the box when they book from your booking page. You can't opt anyone in for them.

What happens when a player texts back?

A YES to a reminder confirms them on the roster, and they get a short thanks. A NO tells you at once by notification; their place stays held until you remove them, so you can offer it to someone else. Anything else they write — a question, "running five minutes late" — is passed on to you as a notification, and they're told it went to you.

Baseline isn't a chat app. Texts reach players in their own Messages; their replies to Baseline's number are passed on to you, and you'll find them on the player's page under Replies. To answer, text them back from your own phone.

What notifications will I get?

Only ones that need something from you: a new booking request; a player who can't make it, or who wrote back; half a day before a session, who has confirmed and who hasn't replied; when a session ends, when its payment links will go and who still needs marking; and once they've gone, whether any are left for you to send.

For players who haven't opted in, it reminds you the day before, one per player still pending — "Sam hasn't confirmed" — and the tap opens the session to ask them. Every notification opens right where you act on it. The day-before ones switch off under Session reminders in Settings; the rest come with what Baseline does for you — your booking page, Ask players to confirm and Send payment links — and stop when you turn those off. Replies from players always come through.

Players & reminders

Confirmations, juniors and notes.

How do players confirm they're coming?

Every player on a roster is Pending or Confirmed. The day before a session, Baseline texts each pending player who opted in, with the date, time and court, and asks them to reply YES. A YES confirms them, and their row reads Confirmed by text. A NO is sent straight to you, and their place stays held until you remove them.

A player who hasn't opted in has Ask if they're in on their row: tap it and the reminder opens in your Messages, already written, to just that player. Each player is asked once, and their row says when, so nobody gets the same text twice.

When they answer you, or tell you in person, swipe their row to Confirm. If someone who confirmed changes their mind before the session starts, swipe their row to Unconfirm and they're pending again. A player who has already paid for their place stays confirmed.

Will it tell me when a regular stops coming?

Yes. Someone who came at least three times in the last three months, then hasn't been in for three weeks and has nothing booked, shows up under Gone quiet on the Payments tab, with what they bring in a month and, if they keep coming at the same time, their usual slot. After two months away they drop off the list.

Check in opens a friendly text in your Messages — "Want to get your Tuesday 6:00 PM back on the calendar?" — and hides them for two weeks. If they book again, they leave the list on their own.

I coach kids too. Does that work?

Yes. Mark a client as a Junior when you add them, and they're graded red, orange, green and yellow ball rather than NTRP. Once you have adults and juniors, your client list and Add player get an Adults / Juniors switch, so each side is its own list.

A junior has a parent, and an age if you like. The phone number is the parent's, so reminders and payment links go to them, and searching a parent's name finds their kids.

Where do my coaching notes live?

In each client's notes — tap Notes on their profile. Write an entry after a lesson, tag the skills you worked on, set a goal for next time, and add a follow-up later that nests under the original. Tap a note to edit it; written a day late, it can be dated back to the lesson.

Each note is headed by the lesson it was written for, and tapping that opens the session. If their latest lesson, from the past week, has no note yet, it waits among the notes as an empty card; tap it to write one.

Their profile then shows the goals still open under Working on, with a box to tick each one off, and focus areas ranked by how often you've worked on them. On a session's roster, tap a player to see their last note before the lesson starts.

Payments & earnings

Getting paid, packages, earnings and taxes.

Can I track who's paid?

Yes. Once a session starts, each player on its roster has a payment row; before then the only way to settle a place is a package credit.

Fifteen minutes after a session ends, Baseline texts every player who came and opted in their own payment link, so mark any no-shows before then. Texts only go out between 8 AM and 9 PM, so a late session's links go the next morning. Anyone who hasn't opted in reads Hasn't opted in · send it yourself, with Send payment link on their row, which opens in your Messages, and a notification tells you who's left. Rather do it all yourself? Switch off Send payment links in Settings. In a session with two or more players, tap Request payment, tick who still owes (or Select all), and each gets their own link; for a one-on-one, use Send payment link on their row. A card payment marks the row paid on its own.

Paid in cash, Venmo or Zelle? Tap Mark paid and pick which. Marked it by mistake? Tap Paid and it's unmarked, with an Undo for a few seconds. Swipe a player's row to No-show and they're never charged. Someone who never confirmed but turned up anyway? Swipe their row to Present, and they can be charged like everyone else.

Refund a card payment and the row says it was refunded. The refund shows as its own line on the day it happened, and the lesson isn't counted as owed again.

The Payments tab adds it all up: what's come in this month next to last month's total, today's sessions and who has settled, and what you've received. Tap Owed to you for everyone who owes, oldest debt first, with a Remind button on each and a way to remind several people at once. Someone who owes for several sessions gets one text naming each date and the total, with one link that pays them all.

Does Baseline take a cut of my lesson fees?

No. Card payments go straight to you, and Baseline never holds the money. By default your client covers the card processing fee as its own line, so you receive your full lesson price.

How do I start taking card payments?

Go to Settings and tap Card payments, or tap Take card payments on the Payments tab. A short sign-up asks for your details and the bank account your money goes to. Stop partway and Settings shows In progress, with a way to finish later.

Once you've sent everything, Settings shows Verifying while your details are checked. There's nothing to do; it usually takes a few minutes, and card payments turn on by themselves. Then it reads Connected, where you can choose whether clients cover the processing fee.

Can I sell lesson packages?

Yes, and you design them. Under Programs, create each package yourself: give it a name, then choose the kind of session, how many, and your price — say, 4 privates for $240. Then sell one from a client's page. Sell package texts them one link where they pay by card, Venmo or Zelle.

A card payment counts on its own. If they pay with Venmo, Zelle or cash instead, tap Mark paid on their page or under Packages waiting on payment on the Payments tab; the card link stops working and the credits are theirs.

One credit pays for one session of that type, and only that type. When you add the client to a session, a credit is set aside and their row reads Credit held, then Paid with a credit once the session starts, with how many are left. If you cancel the session or they cancel, the credit comes back; a no-show keeps it used. Credits never expire, and a second package adds to the same balance.

Stop selling one by holding it on Programs and choosing Retire. Anyone who bought it keeps their credits, and it waits under Retired, where you can restore it or hold it again to delete it for good once nothing still needs it.

Can players pay me with Venmo or Zelle?

Yes. Add your Venmo username and the email or phone your Zelle uses during setup or under Settings → Venmo & Zelle. Every payment text then ends with one link to a page where players choose how to pay. Venmo opens with their amount filled in, so all they do is tap Pay; Zelle shows your email or phone to copy.

Players pick whichever suits them on the same page. The Venmo link asks for your plain lesson price, with no card fee added.

Can I see how much I'm making?

Yes. Tap the month card on the Payments tab to open Earnings, for this week, month or year. It shows what came in against the period before, how you're paid and how quickly, and your top clients.

Does it help at tax time?

It does the adding up. Under Year to date on the Earnings screen, Baseline shows everything that came in that year, with refunds taken off.

Export 2026 as a spreadsheet (pick the year above it) gathers every payment — the day, the session, the client, how they paid and how much — as a spreadsheet, and opens the share sheet so you can save it to Files or send it on. Baseline isn't tax advice; it just hands you the numbers.

Your account

Pricing, signing in, privacy, appearance and taking a break.

How much does Baseline cost?

$25 a month, or a yearly plan that costs less. Either plan includes everything, and your first month is free, with no card needed.

Founding coaches, who join by January 22, 2027, get Yearly at $174 a year ($14.50 a month, 42% off), theirs for as long as they stay subscribed. After that, the yearly plan is $240 and saves 20%.

Subscribe from Settings → Subscription. Subscribe during your free trial and your first charge still waits until it ends. Change plan, update your card, see receipts or cancel from the same place. Baseline takes no cut of what your clients pay you.

What happens when my free trial ends?

If you haven't subscribed, Baseline turns read-only: your schedule, clients, notes and payments all stay where they are and you can still look through them, but you can't add or change anything, send texts or request payments until you subscribe. Settings, signing out and deleting your account still work.

I forgot my password. How do I get back in?

Tap Forgot password? on the sign-in screen and enter your email. Baseline emails you a 6-digit code; type it in, choose a new password, and you're signed in.

How do I delete a client?

Hold their card on the Clients tab and choose Delete. Their notes and packages are deleted and they come off every session's roster; the sessions themselves stay on your schedule. Changed your mind? There's an Undo for a few seconds.

Is my client list private?

Yes. Every client, session and note is locked to your account at the database level, so no other coach can read your roster. Client phone numbers are never sold and never shared for marketing. See the Privacy Policy.

Is there a dark mode?

Yes. Under Settings → Appearance, pick Light, Dark, or Automatic to follow your phone.

Does it work with VoiceOver and larger text?

Yes. Every button is named and read out as a button, and the buttons and swipe actions on a row — like Check in or Resend — are offered as VoiceOver actions on that row. Text grows with your phone's text size setting.

Can I take a break without losing anything?

Yes. Under Settings → Delete my account, choose Pause instead. Your clients, sessions and notes stay exactly as they are, and Baseline stops texting your clients and sending you reminders until you reactivate.
